Administrative Assistant, Laboratory (Part-Time)

Pleasanton, CA

Position Summary

Under the direct supervision of the Engineering Coordinator and Lab Manager this position provides administrative support to the Pleasanton and Stockton Laboratories. In addition to purchasing materials, coding and processing invoices, performs various duties relating to quality and organization. Deals with a diverse group of internal contacts at all levels of the organization. Independent judgement is required to plan, prioritize and organize diversified workload, and recommend changes in existing practices or procedures.

Essential Duties & Responsibilities

% Time Job Responsibilities
20% Purchasing: Order consumable materials, code and process invoices, enter purchase order requests.
20% ISO Accreditation: annual vendor reviews, annual document review, schedule calibrations, analyze customer feedback surveys, assist with CAR’s and PAR’s, measurement of uncertainty, replicate and proficiency testing. Assist in creating and maintaining a Critical Consumables List, Materials List, and Best Practices Reference.
20% Inventory: Maintain an appropriate level of inventory for all lab supplies, coordinate all material returns, handle all requests for donations, handle transfer of materials between labs.
20% Lab Organization: assist with processes in place to keep the lab in order, assist with the management of bins and racks, assist with facility maintenance projects for labs through coordination with facilities manager, develop a documented process for reoccurring lab organization activities.
20% Operations: assist with review of test write-ups for errors and omissions, manage test transmittals and materials test reports, assist with equipment maintenance and purchasing, assist with lean activities, document operations tasks in a written work instruction, special projects as assigned.

Education & Certification Requirements

Required or Preferred Degree or Certification
Required High School Diploma or GED
Preferred AA Degree


Years Type of Experience
1 Year Administrative experience in an office environment
1 Year Familiarity with construction materials or ISO 17025 Standards is a plus

This part-time, non-exempt position is located in Pleasanton, CA.

Relocation will not be considered for this position.
