Position Summary
The Associate Project Coordinator effectively coordinates and communicates with our customers, field sales representatives, sales support, production, purchasing, shipping and inside sales on tasks needed to support sales on primarily multi-family projects. The Associate Project Coordinator is responsible for quoting, monitoring and the coordination of the project development schedule. The ability to prioritize and facilitate multiple projects simultaneously, balance ongoing duties with several special projects and perform accurately and professionally under pressure is essential to this role.

60% | Facilitate projects by processing customer quote request, purchase orders, work orders, and work directly with purchasing and inventory management on back orders and current trends. Evaluate cost effective inventory and design solutions. Be able to understand and accurately process change order requests. Maintain a well-organized schedule and communicate status of all active, in-active and awarded projects. Prepare and ship project installation packages with each project. |
25% | Support the residential sale team by tracking all multi-family projects from start to finish: quote projects, respond to and track RFI, and communicate with engineering services. Coordinate all project shipments, project updates, provide layouts, research project issues, track purchase orders and back ordered products, support field sales, and provide field sales with needed information. Price material lists, stage, ship and invoice projects. |
10% | Properly maintain customer information in multiple databases. Input data into Salesforce, work management software and project management systems. |
5% | Process and correct any billing or shipping discrepancies. Answer and assist incoming customer calls. Oversee direct project shipments are accessible and point of contact is established. Prepare and process additional orders. |
Desired Skills and Experience
If you can do everything listed above, you’ve got what it takes. Perhaps some of the following would be helpful too:
- High School Diploma or General Education Degree (GED) required.
- Two year degree, technical school certificate in Business or Construction Management, or equivalent experience preferred.
- 1-2 years of experience in various aspects of multi-family and commercial construction business, including budgeting, reading plans, and negotiating pricing.
- Ability to complete a take-off of building materials from construction plans using both Architectural and Structural drawings.
- Speaking and Written Communication: Ability to effectively present information and respond to questions from groups of managers, clients and customers. Bi-lingual (English and French) proficiency is required.
- Critical Thinking: Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
- Mathematic Reasoning: Ability to work with mathematical concepts, such as probability and statistical inference.
- Detail oriented.
- Desktop Applications: Proficient knowledge of Microsoft Office and operate many different programs used for construction documents such as file sharing systems, Bluebeam, project management software, Smartsheet and Simpson SAP applications.
- Salesforce CRM usage will be critical to properly track and update job status with multiple internal customers
- Problem Solving: Ability to manage and resolve conflicts in a constructive manner.
This job does not require travel.
This full-time, non-exempt position is located in our Brampton, ON office. Remote work location is not offered for this position.
Relocation is not available for this position.
